Role Summary

To proactively provide full administrative support to the Corporate Sustainability team.

Key Responsibilities:

This list will provide an indication of duties only and so is by no means exhaustive.


  • Initiative shown providing professional & confidential support
  • Organise meetings and take minutes
  • Organise UK & International travel arrangements (trains, flights & hotels)
  • Organise and maintain filing system and be primarily responsible for its effectiveness
  • Organise and maintain team diary and event calendar
  • Arrange internal and external training courses and conference attendance
  • Process team invoices on Concur system
  • Offer telephone cover & diary management
  • Assist team lead with new joiner/leaver matters and HR related issues
  • Collaborate with colleagues forming final preparation and issuance of team reports
  • Assist in the production of PowerPoint presentations
  • Assist on ad hoc projects
  • Provide support preparing of CS reports
  • Assist with the compilation of team MI using Excel
  • Maintain disaster recovery details, contact lists
  • Maintain personnel contact details for CS team
  • Office management assistance for Comms, IT and Corporate Services
  • Service agreements liaison and management
  • Manage stationery
  • Procure and manage Induction gift items
  • General administration and any ad-hoc duties
  • Other Compliance tasks
  • Provide PA support to the Team Lead

Internal Communications support

Collating articles and programme reports from the team and assisting the comms lead across the following:-

  • Team monthly newsletter
  • Quarterly digital central newsletter
  • Quarterly printed IBP newsletter
  • Activation events
  • Website, Intranet and internal Social Media: manage and update relevant pages

  • Excellent time management, organisation skills and attention to detail
  • Diligent, reliable, proactive team player capable of using initiative to support busy team with their schedules, deadlines, clients and other demands
  • Positive attitude with a sense of urgency
  • Ability to use knowledge and understanding to help enhance role
  • Highly articulate in both written and oral communication
  • Excellent Microsoft Word, Excel and PowerPoint skills
